Need: IIJS is one of the world’s largest gem and jewellery trade shows. Indipreneurs was asked to provide registration logistics services for the entire show. The task included providing identification badges for domestic visitors, exhibitors, official agencies, overseas buyers, press, VIP etc. In total there were 15 different participant types for an entry of nearly 25,000 visitors. The scope of work included logistics for pre and on-spot registration and responsibility over verification, application processing, badge printing, courier coordination, customer service, and online badge tracking. Solution: Indipreneurs used its expertise in management consulting to define a thorough project plan that included an organization model, business process design, roles and responsibility plan, training plan, risk management plan, backup and recovery plan, and technology blueprint. The plan was executed by a team of operation managers and business analysts. Our in-house technology team designed and developed proprietary registration software to implement the registration technology blueprint. The software includes the following key features: client account interface, application form entry, scanner and camera interfaces, integrated photo editing, badge shelving logic, secure badge printing (includes barcode and photo), label printing, courier dispatch and tracking, security scan station, one-click reports and data export tools. Result: A team of Indipreneurs’ managers, customer service representatives and application processing executives generated and delivered over 25,000 secure badges for the show. The number includes nearly 5,000 on spot registrations. Average application processing time for on-spot registration, which includes time spent by visitor on document verification, payment collection, and photo id counters, was less than 15 minutes. |
